Sukoharjo, LPM Campus –UMS Library pre-tested their new automated check-in gate on Monday (03/25). In order to improve services, this new check-in gate was insisted to change the current system for checking and controlling visitor at the main Library. Before this, the check-in system only done by scanning their official Student Card at the check-in table beside main entrance due to the incompatible of old automated gate system which resulted overcrowding in the lobby area. In the future, this new system will be used permanently after the socialization period over.
Installation of this new “check-in gate”, or called as “security gate” by some Librarian, prepared a week before this trial but actually all of plans and research were done more than a month. On the last Saturday, according to campus crew sightings this gate was prepared to be installed on Saturday (03/23) afternoon. “Socialization period will be flow in times, as long as all UMS academicians (students, lecturers, staffs, etc) it’s already launched”, said by Mrs. Ana of UMSLibrary administrative. Preparation on Saturday are addition of emergency floor because the machine needs to have some part that passes under like small cables. But, Ana explains that they will be improve it to make it more elegant and functional in the future.
In this socialization period, the first phase of visitors they were reached out is UMS academicians itself by sending socialisation announcement to their University UniID or SSO E-Mail for student, lecturer and main staffs on Saturday (03/23) before the first day trial. Officials invited academicians to fulfilling Google Forms to get new digital Library Card that used to access the new gate both in the E-Mail and On the Spot at the lobby by asking on register. The purpose of using this new digital card is being a back-up of current Student Card that need to be stored on the wallet. By using this new digital card, visitors only need their phone that can shows this digital card to accessing the new gate. According to our sighting, even internal staffs just seen this new feature when they arrived.
In the first day of trial, official received several reports of problems due to the use of this gate. Mostly came from student year of 2023 which their current QR code on their UMS Student Card has more data than most students above them. Basically, most of students only have student number (NIM) data on their QR code and student of 2023 has more data on their QR code such as name, birthplace, birthdate and address details. Beside problem faced by student, it is also affected to the academicians such as lecturer and staff especially contract staffs with outsourcing staff where some of them don’t have any cards to use for. As a temporary solution, officials borrow their daily access card for free with proof if they were truly academicians, staffs and outsource staff that still work at UMS right now.

It is very simple to use this new check-in gate system. For academicians, they only need to prepare to show their digital card and scan it on the gate QR scanner same as what is used on the commuterline (KRL) in Indonesia or another automated gate system. It is can also use current UMS Student ID Card other than class of 2023, which the system still being improved from now on. For student class of 2023 or other academicians who cannot access, you can request a daily access card at the registration desk and will be assisted by the staff on duty for temporary registration while waiting the system updated. Then, for guests from outside UMS who want to enter and use this Main Library facility, you can also request a daily access card at the registration desk and get charged for IDR 5000 with leaving identity card that will be returned when visitor returns the access card.

The cost of procuring this new gate is approximately under 30 million rupiah and UMSLibrary purchased from the provider company then all system handled by themselves, said by Mrs. Ana. “Hopefully, everyone can have digital library card because everything can be done on a smartphone for any purposes. Such as transaction, entrance check-in doesn’t have to use a physical card and keep up with technological development as well”, she continued.
